The Flooring Industry Training Association (FITA) is committed to protecting your privacy and ensuring that any information that we collect about you is never misused.

FITA is registered as a data controller with the ICO under registration number Z7519976

This policy explains what information we collect, how and why we use it, how we keep it safe, and what your rights are.

How we collect and use your information

How we Collect Data

When you interact with FITA, we will be collecting data when you:

  • Visit our website – see also cookies policy
  • Correspond with us by phone, email or otherwise
  • Interact with us on social media
  • Fill out a form to book a course

We also gather information about you when you visit the FITA training centre when you:

  • Fill out a health and safety declaration (only held for the duration of the course)
  • Through pictures taken on the course (only if you consent)

What we collect, who from and why

The information we collect from you as a course participant is:

  • Name, address, email and telephone number, to Administrate your training course and booking and deliver course content. This is done under the lawful basis of contract. We will be unable to deliver the course if we do not have this information. We will also use this information to contact you about further relevant courses that may be of interest to you. We use the option of soft opt-in and legitimate interests for this. You have the right to object to this at any time.
  • Details of an emergency contact – name and number. This is used in the event of an emergency during the course and is processed under the lawful basis of legitimate interests.
  • Credit or debit card number is used to pay for the course and is processed under the lawful basis of contract
  • Disabilities, physical or medical conditions, dietary requirements – if relevant to training and support needed ……… or simply to make your visit to us more comfortable. The lawful basis for this will be to comply with Health and Safety legislation, processing is necessary for the purposes of preventive or occupational medicine, for the assessment of the working capacity of the employee, or social protection law.
  • We ask visitors to sign in to FITA in our visitor’s book collecting, name, company and car registration details. We use this information in the event of a fire and is processed under the lawful basis of legitimate interests.
  • We may generate accident reports and disclose that information if required. This is a legal requirement and processed under the Health & Safety At Work Act 1974.

Other information held by FITA:

  • We hold first aid certificates and information in relation to all instructors who work with FITA. This information is held as a legal obligation and processed under the Management of Health & Safety At Work Regulations 1999.
  • FITA instructors and others connected to FITA activity may take pictures during courses. The pictures are used to promote courses and in articles about the training offered by FITA. The pictures are taken on the basis of consent and you have the right to object to this at any time.
  • FITA may collect data and information on prospective users of FITA services. Information is sent to prospective users of the FITA services and training courses through various trade and construction journals. This also includes social media platforms where interest groups or individual recipients are identified or have registered interest directly with FITA. The recipients are selected because they are likely to have an interest in the installation of domestic or commercial floor coverings. This includes those attending courses, where consent is re-affirmed during booking. This marketing activity is recorded within spreadsheets held on our server only and is held on the basis of legitimate interest.
  • FITA holds data relating to collecting, retaining, analysing expenses claims, sales and other income records, supplier payments and checking payment card validity. This is audited through annual accounts. This data is held on the basis of legitimate interest.
  • Collection/generation and retention of records for sales, returns and complaints. Any complaints raised are dealt with under our complaints and appeals procedure. The information is held through legal obligation and complaints managed as per the Consumer Rights Act 2015.

How we keep it safe

The data we collect is processed at the FITA head office in Nottingham.

The digital data we collect is stored on a local server managed by a third-party IT company with industry best practice applied.

Any paper-work generated is held within a secure office and locked filing cabinets.

We hold full data for a maximum of two years. Basic contact details including course attended is held digitally indefinitely unless you advise otherwise. This allows us to re-issue certificates and accreditations (to the delegate only) if required.

Sharing your information

We do not share your information with others unless you have consented or it is necessary to do so because:

  • Of administrative or operational needs (e.g. ordering food for a special dietary requirement)

Cookies

When you visit the FITA website we place cookies on your device.

Cookies are small text files that help our websites to work and us to understand what information is most useful to our users. They also speed things when you come back to a site. We do not use them to identify you personally.

You can block cookies by activating a setting on your browser allowing you to refuse cookies. You can also delete cookies through your browser settings. If you turn off cookies, you can continue to use the website and browse its pages, but FITA will not work effectively.

Summary of your rights

You have the right to:

  • Ask for a copy of any information we hold about you, including who we share it with and any supplementary information.
  • Object to any marketing information being sent to you including by phone.
  • Lodge a complaint with us or the Information Commissioner’s Office or with any other relevant supervisory authority about how we handle your personal data.
  • Ask us to correct any inaccurate or incomplete information we have about you.
  • Ask us to delete your information from our records. (Right to be forgotten) If this is requested, we will add the bare minimum of information to a suppression list to ensure you are not inadvertently re-added at some point in the future.
  • Ask us to send a copy of your information to a third party in a data portable format. E.g. Course records and learning to another course provider.
